Zimbabwe Health Interventions is a not for profit human development organisation which is registered as a Trust under the Zimbabwe Deeds Registries Act (Chapter 20:05). ZHI’s mission is to develop and deliver innovative and sustainable high impact integrated health interventions with local communities while working with and strengthening existing institutions.


Basic Function

The Grants and Contracts Graduate Trainee will assist the Grants and Contracts Assistant (GCA) in the administration of the Grants and Contracts tasks as shall be assigned. The Graduate Trainee will also support the GCA in organizing for her travel and subsistence needs for conducting routine monitoring and support visits and may also be requested to travel along with the GCA to conduct these visits. He/She will also undergo training in USAID rules and regulations, Sub-Awardee Finance Report (SFR) and training in all processes and procedures involved in engaging Sub-Awardees.


Job Description

• Assisting in filing all Grants and Contracts documents in an organized manner both physically and electronically.
• Assisting the CGA in the compiling of Sub Awardee Finance Report (SFR) reimbursements packs and other clerical tasks involved in review of SFRs.
• Assisting the CGA in verifying the accuracy and completeness of Fixed Amount Sub-Award milestone deliverables.
• Preparing and organizing the Travel and Subsistence logistics and paperwork for CCG routine monitoring and support visits of Sub-Awardees.
• Assisting in the actual conducting of routine Sub-Award Monitoring and Support tasks as may be assigned by the CGA.
• Logging and tracking administrative requests from Sub-Awardees and supporting the CGA to ensure that they are all fully resolved.
• Manage all stationery requests for the CCG department.
• On the job training in USAID Acquisition awards (Contracts) and Assistance Awards
(Grants and Cooperative Agreements) issues.
• On the job training in USAID rules and regulations including the Code of Federal
Regulations (CFR), Federal Acquisition Regulations (FAR), USAID Acquisition Regulation
(AIDAR), and Automated Directive System (ADS) among other tools.
• Undergo training in Sub-Award reviews and Compiling Sub-Award packs.
• Undergo overall training in USAID guidelines on General Compliance, Financial
Management, Human Resources, Procurement, Reporting, MEL, Branding, Marking and
Environmental Compliance.
• Conduct other general Compliance, Grants and Contracts functions as may be requested


Knowledge, Skills and abilities

• Knowledge of basic theoretical framework of the Legal, Finance and Administration issues for Non-Governmental Organizations.
• Knowledge of basic principles of Accounting and Finance including Generally Acceptable Accounting Practices (GAAP), Internal Control elements, processes, and procedures.
• Proficiency in Microsoft Office applications such as MS Word, Excel, PowerPoint
• English language fluency, both oral and written
• Devoted learner, proactive with proven time management skills
• Team player
• Detail oriented
• Excellent organizational skills
• Strong sense of ethics, integrity, credibility, and respect for diversity
• Ability to communicate effectively with Teammates
• Ability to travel a minimum of 25%


Qualifications and experience

1. Bachelor’s degree in Accounting, Law, Business Administration, Finance, Economics, Industrial Management, HND or equivalent.
2. At least 1 year experience on Industrial attachment.
3. Familiarity with U.S. Government grant rules and regulations, national laws, auditing standards and NGO environment will be an added advantage.
