Zimbabwe Health Interventions (ZHI) is a not-for-profit human development organisation which is registered as a Private Voluntary Organisation (PVO 17/22). ZHI’s mission is to develop and deliver innovative and sustainable high-impact, integrated health interventions to the communities we serve, while working with and strengthening existing institutions.
The Determined, Resilient, Empowered, AIDS-free, Mentored, and Safe women (DREAMS)-Reignite Innovate Sustain and Empower (RISE) Program aims to prevent new HIV infections and reduce vulnerability among Orphaned and Vulnerable Children (OVC), OVC caregivers and Adolescent Girls and Young Women (AGYW) in Zimbabwe. The DREAMS-RISE program is being implemented in priority high HIV burden districts in Zimbabwe. ZHI’s primary role is to deliver a comprehensive curriculum on HIV prevention, gender norms and social asset building targeted at AGYW in school, out of school and their sexual partners at community level. ZHI’s core thrust in the DREAMS-RISE Program is to keep girls and young women HIV Free through supporting them to; Stay in school; Prevent early pregnancies; Prevent sexual violence; Access Post violence care; Reduce child marriage. DREAMS-RISE program provides a comprehensive, multi-sectoral package of core interventions to address key factors that make girls and young women particularly vulnerable to HIV. These include structural factors, such as gender-based violence, exclusion from economic opportunities, and a lack of access to secondary school. DREAMS-RISE program layers multiple interventions at once so that AGYW are surrounded with critical support to keep them safe from HIV and other risks.
Basic Function
In close liaison with Senior HR Officer (SHRO), the position provides operational support to implement effective functional Human Resources (HR) processes in areas including recruitment, employee relations, benefits administration, compensation, payroll, leave management, time administration, safeguarding, report writing, HRIS and training & development. S/he serves as the initial point of contact for employees who require HR support. The incumbent will process various forms related to documenting human resources activities such as new employees, change-of-status, performance evaluations, benefits, terminations, conducts new employee orientations and facilitates employee exit interviews.
Job Description
Support the recruitment process with tasks such as, advertising, shortlisting, subsequent scheduling of interviews, conducting reference and security checks; Draft offer letters under guidance of SHRO and communicate to candidates where relevant; Conduct new hire orientation and ensure all relevant documents are included on orientation package; Offer first line support to line managers and staff members; Enhancing staff performance by adding value to the current performance management tool and initiatives; Facilitating employee development initiatives which will address the current performance gaps; Training of supervisors and line managers on ZHI HR policies and processes; HR data analytics and reporting i.e. interpret and analyze HR data to help or inform strategic decision making on HR processes and strategies; Coordinate with district offices and partners to provide assistance in their HR information; Compile HR weekly, monthly and quarterly reports and any other reports requested by project and management; Maintain an accurate personnel filing system for all staff, ensuring that each individual file conforms to audit expectations; Maintain an accurate record of employee leave ensuring compliance with statutory and ZHI leave policies; Benefit Administration, this includes collecting the required data/documentation for the health insurance scheme and group life insurance scheme and maintain a status spreadsheet for the scheme; Payroll Administration: Prepare and process monthly payroll, in close liaison with SHRO and Finance department; Time sheet administration using manual/electronic time reporting system; Prepare, facilitate for payment and submit monthly statutory remittances such as NSSA and NEC; Support ZHI's safeguarding initiatives; Perform other duties as assigned.
Knowledge, Skills and abilities
Work independently with minimum supervision showing initiative to manage high volume work flow; Ability to priorities work and report to supervisor on variances and provide status on regular basis; Perform detail-oriented work with a high level of accuracy and attention to detail; Interact with diplomacy and tact and follow-up on requests in timely and efficient manner; High level of confidentiality, must have the ability to maintain confidentiality for sensitive Human Resources issues or projects and use judgment to execute duties and responsibilities; Must exhibit high levels of professionalism, integrity and ethical values at all times; ; Record keeping, report preparation, filing methods and records management techniques; Objectivity and the ability to apply HR rules and regulations in a fair and consistent manner; Ability to plan and prioritize own work under tight deadlines, as well as to work on own initiative and as a member of a team; Strong data analytics, presentation and reporting skills.
Qualifications and experience
Bachelor's degree in Human Resources, Social Sciences or its recognized equivalent with a minimum of 3 years of relevant experience in a large organisation is required; Proficiency with Payroll and HR Information systems e. g Belina is required; Strong data analytics, presentations skills and reporting experience is essential; IPMZ Diploma is an added advantage; Experience championing safeguarding activities is a distinct advantage
