Zimbabwe Health Interventions is a not for profit human development organisation which is registered as a Trust under the Zimbabwe Deeds Registries Act (Chapter 20:05). ZHI’s mission is to develop and deliver innovative and sustainable high impact integrated health interventions with local communities while working with and strengthening existing institutions.
Basic Function
The Program Assistant will provide administrative support to the ZHCT Technical Director and the technical team focusing on organizing and maintaining calendars, ensuring prompt and orderly communications, filing, and tracking important documents, providing logistics support for all procurements including tracking progress of procurement as well as provide support for budget management. S/he will also be expected to support the technical team to coordinate program activities, events, meetings, and meetings management i.e., development of agenda, meeting reports, minutes, requisitions for venue, procurements, transport etc. This position will facilitate communication and effective liaison between the ZHCT project leadership, the ZHCT Technical Team and the District Teams tor the efficient implementation of the ZHCT project.
Job Description
Provide administrative support to the ZHCT Technical Director and the technical team on organizing and maintaining calendars, ensuring prompt and orderly communications, filing, and tracking important documents, as well as provide support for budget management; Provide administrative support to the TD in setting up meetings and meetings management i.e. development of agenda, meeting reports, minutes, requisitions for venue, procurements, transport as well as providing support for follow-up of action items; Provide administrative support to the ZHCT technical team on logistics, procurements including tracking of procurements, delivery, and distribution of commodities; Support the TD to coordinate and track the ZHCT close out activities; Ensure that all ZHCT project deliverables are uploaded on SharePoint and other ZHI knowledge management platforms in preparation for closeout; Maintain close communication with all parts of the project to appropriately advise the TD of important issues within the project; Maintain the ZHCT technical team calendar of events, meetings including outside meetings; Support the technical team to coordinate program activities, events, meetings and meetings management i.e. development of agenda, meeting reports, minutes, requisitions for venue, procurements, transport etc;Provide financial management support to the TD and technical team including review of requests from the districts, budgeting, and budget management; Performs any other duties as assigned.
Knowledge, Skills and abilities
Experience in supporting senior management and HIV/health programs/teams; Knowledge of USAID, donor organizations. and management of NGOs; Sensitivity to cultural differences and understanding of the political and ethical issues related to health care; Self-driven and innovative, focused on personal development; Ability to work well with others and to develop and maintain compatibility among project staff; Well-developed written and oral communication skills in English and Shona; Proficiency in Microsoft Office applications such as MS Word, Excel, PowerPoint; Ability to manage tight deadlines and deliver high quality work with minimal supervision.
Proficiency in English and relevant local language; Knowledge of community health practices and general medical ethics; Demonstrated ability to work effectively and efficiently within a team; Ability to analyze and report relevant activities; Sound knowledge of HIV care and treatment practices in Zimbabwe; Training and experience in HIV counselling and testing for adults, adolescents and children; Knowledge of national HIV/AIDS, STI and TB treatment guidelines; Familiar with M&E tools for OI/ART management; Results oriented and able to meet project deliverables; Computer literacy is a must
Qualifications and experience
Bachelor’s degree in Social Science/Administration/Heath sciences from a recognized university; A minimum of 1year relevant working experience, including attachments is required; Experience in office administration is an added advantage; Experience with large complex organization is required, familiarity with Zimbabwe health systems, international NGOs preferred; Demonstrated success in multicultural environments is required.
